Customer Service Representative

Avobus Equipment is a veteran-owned medical equipment company supporting healthcare organizations with equipment sales, biomedical service, rentals, supplies, and equipment management solutions. We work with hospitals, surgery centers, infusion providers, long-term care organizations, EMS agencies, and private healthcare facilities to help them source, service, track, and manage critical medical equipment.

We are looking for a dependable, organized, and customer-focused Customer Service Representative to support day-to-day customer communication, order coordination, quote follow-up, service requests, and internal administrative workflows.

Summary

The Customer Service Representative will serve as a key point of contact for customers, sales, operations, biomedical service, and shipping. This person will help ensure that customer requests are handled quickly, accurately, and professionally from first contact through completion.

This role is ideal for someone who is detail-oriented, comfortable working in a fast-moving environment, and able to communicate clearly with customers and internal team members.

Responsibilities

  • Answer customer calls, emails, and web inquiries in a professional and timely manner.
  • Assist customers with product availability, order status, quote requests, shipping updates, service requests, and general account questions.
  • Enter and update customer information, orders, service requests, and follow-up tasks in Avobus systems.
  • Coordinate with sales, purchasing, warehouse, shipping, and biomedical service teams to keep customer requests moving.
  • Help maintain accurate records for customer accounts, equipment, service activity, serial numbers, shipping information, and documentation.
  • Support the customer handoff process from sales to operations to ensure a clean customer experience.
  • Identify customer needs and route opportunities to the appropriate sales or service team member.
  • Assist with preparing customer documents such as quotes, order confirmations, service updates, certificates, and basic reporting.
  • Help resolve customer issues, escalate problems when needed, and follow through until the issue is closed.
  • Maintain a high level of professionalism, urgency, and accuracy in all customer interactions.

Qualifications

  • 1–3 years of customer service, administrative support, inside sales support, order entry, call center, logistics, healthcare, or related experience preferred.
  • Strong phone, email, and written communication skills.
  • High attention to detail and ability to accurately enter information into business systems.
  • Comfortable working with order management, CRM, ERP, QuickBooks, inventory, shipping, or service ticketing systems.
  • Ability to prioritize multiple requests and follow up without being micromanaged.
  • Professional, calm, and solution-oriented communication style.
  • Comfortable working with customers in healthcare, medical equipment, service, or technical environments.
  • Basic Microsoft Office, Google Workspace, or similar software skills required.
  • Medical equipment, healthcare supply, logistics, biomedical service, or durable medical equipment experience is a plus but not required.

Hours:8am-5pm M-F
